Privacy Policy

The "Razem" NGO Forum for Poland and Ukraine ("Forum") is an initiative serving aid organizations. The Forum aims to provide wise, inclusive support to organizations working on behalf of refugees from Ukraine and the Polish communities hosting them.

The aim of the Forum is to create a space for multilateral cooperation, with a particular focus on local and international non-profit organizations responding to the various challenges that can be observed in Poland in relation to the war in Ukraine.

This privacy policy (hereinafter referred to as the "Policy") is addressed to users of the Forum's website: https://www.forumrazem.org.pl/pl (hereinafter referred to as the "Service"). The Policy describes the collection and use of data of users of the Website, which are collected directly from them or through cookies and similar technologies.

1. Data administrator and contact

The administrator of the data collected in connection with the use of the Website is Polish Humanitarian Action with its registered office in Warsaw (00-145) at al. "Solidarności" 78A, tel. 22 828 88 82, e-mail: compliance@pah.org.pl.

2. Scope and sources and basis of processing of collected data

If you merely visit the Website and browse its content, cookies (details of which can be found in the last section of the Policy) automatically collect technical data about your visit, e.g. IP address, domain name, type of browser you use, type of operating system, time spent on the Website, search phrases, or date and source of your visit. We collect this data because it is necessary for the purposes of our legitimate interest (6(1)(f) RODO):

  • improving the operation of the Service and ensuring that the content of the Service is presented to you in the most effective manner;

  • administering the Service;

  • performing internal operations, i.e. troubleshooting, data analysis, web traffic analysis, testing, performing research, for statistical and survey purposes or to ensure the safety and security of the Service; and

  • customizing content for users.

In this case, our legitimate interest is to ensure the smooth operation of the Service, which primarily allows you to inform all interested parties about the activities of the Forum and to join the Forum.

At any time, you may object to the processing of your data on the basis of legitimate interest, based on Article 6(1)(f) of the RODO.

Provision of data necessary for static analysis of users of the Service is voluntary. When visiting the Website, you may use the so-called incognito mode to browse the Website without providing the Administrator with information about your visit to the Website. Using the incognito mode, and therefore not providing data, does not affect your ability to use the Website.

If you decide to join the Forum and register using the form (https://www.forumrazem.org.pl/pl/registration), we obtain the data directly from you and process it for the purpose of fulfilling the Forum membership relationship (Article 6(1)(b) RODO). In doing so, we obtain and process data including: your name, surname, email address and possibly telephone number, information about the organization in which you work or with which you cooperate, and information about the position you hold.

Providing data at registration is voluntary, but necessary to join the Forum.

3. Tools used

We use remarketing tools such as Google Analytics and Google Ads on our website. Google Analytics allows us to analyze your website traffic in order to personalize marketing content. At the same time, we use Google Ads remarketing services. The remarketing function of Google Ads involves recording your traffic on our websites in order to present advertising content about our business on other websites you visit. As part of our use of the above marketing tools, we collect data such as cookies. If you do not wish to be subject to the functionality described above, you must withdraw your consent to our use of marketing cookies in your cookie preferences.

4. Data retention period

Your personal data provided at registration will be stored until your membership in the Forum ceases (for whatever reason), and thereafter until the expiration of the statute of limitations for any claims of the parties related to your membership in the Forum.

In case the basis for data processing is the legitimate interest of the administrator, until you make an effective objection.

Data related collected through cookies and similar technologies may be stored until the cookie expires. Some cookies never expire, so the duration of data storage will be equivalent to the time necessary for the Administrator to fulfill the purposes of data collection, such as ensuring security and analyzing historical data related to traffic on the Website.

5. Recipients of data

Your data may be transferred to entities that process personal data on behalf of the Administrator, to IT service providers. And to our partner with whom we cooperate in the creation of the Foundation ASHOKA - INNOVATORS FOR GOOD. Such entities process data based on the contract they have concluded with us and only in accordance with our instructions.

Your data may also be shared with entities authorized to obtain them under applicable law, such as law enforcement agencies. To the extent permitted by applicable law, we may also share your data with debt collection and debt trading institutions.

If the registered office of an entity cooperating with us is located outside the EEA, an international data transfer may occur. This kind of transfer takes place within the framework of cooperation with service providers such as Google Analytics, Google Ads, Facebook Pixel, for example. In this case, taking care of the security of your personal data, we use various mechanisms for the transfer of personal data, including standard contractual clauses.

6. Data entitlements

We guarantee you the exercise of all rights related to the processing of personal data under the terms of the RODO, i.e. the right to:

  • to access your data and receive a copy of it;

  • to rectify (amend) your personal data;

  • to restrict the processing of personal data;

  • erasure of personal data (subject to Article 17(3) of the RODO);

  • file an objection; and to

  • lodge a complaint to the President of the Data Protection Authority (2 Stawki Street, 00-193 Warsaw) if you consider that the processing of your personal data violates personal data protection laws.

7. Cookies

Cookies are small text files, sent by the Service and stored on the user's side, which can only be read by the system that stored them. Cookies are used only to facilitate identification. They store information that is necessary for the proper display of the Service.

8. Policy changes

We will make changes to the Policy from time to time. If we make changes, we will post the new Policy on the Service and change the effective date, so we encourage you to review it regularly. Your continued use of the Service after the changes have been made means that you accept the changes.
